We recently acquired a brand new office space as part of our HuddleCamHD team’s expansion process. As we were contemplating the setup for our 3000 sq ft office space, we decided to share some of our insights on the best way to optimize and design a video conference room at your workplace. Our brand-new office space served as an excellent test environment to consider the various aspects of a conference room. We narrow down a conference room setup to 4 major components: the table size and orientation, the LCD/ LED Screen size and height, the number of seats and the camera mounting configurations.

The first step is to accurately measure the office space’s length, width and height to get a better idea of the options available. A handy trick is to count the ceiling tiles and gain a very accurate estimate of the length and width of the floor space. In the US, office spaces generally, utilize 2ft x 4ft or 2ft x 2ft ceiling tiles (distinguishable by their respective rectangular or square shape). The maximum dimensions of the table should be at least 10 feet less than those of the room’s corresponding edges. For example, a 20ft x 15ft room should not contain a table larger than 10ft x 5ft. This separation will enable seamless movement across the conference room.

Modern Conference Rooms: The 5 Products You Absolutely MUST Have!



Having a modern conference room setup is critical. Technology changes rapidly, and so does conference room equipment. In this video, Michael Casey from Mainline Marketing will go over the essential equipment needed to make sure your conference room is capable of handling everything from small in-person gatherings, to large meetings with team members video conferencing in from all across the country.

Everything can be broken down into four main categories: display, camera, microphone, and speakers.

Your display can be anything from a large screen TV, to a giant projector. The choices here will largely depend on the actual specifics of your conference room. Smaller rooms might be able to get away with an LCD TV. But if you have a large conference room, or you don’t have a good wall to mount a TV screen to, a projector will be the way to go! The screens can be suspended from the ceiling, and retract when not in use, making them extremely versatile and perfect for most rooms. For the projector itself, look no further than the Barco G60 Projector. And employees or guests can easily connect their laptop or mobile device to the projector using the Barco Click Share Conference.

Microphones are important because anyone on the other side of the video conference call needs to be able to hear you and your team. Rather than having one mic at the front of the room, or sitting in the middle of the table, you should look into an MXA910 Ceiling Array Microphone from Shure. The MXA910 can cover multiple people sitting all around the room. Patent-pending Autofocus technology can fine-tune the audio pick up in real-time, meaning participants can still be heard even if they lean forward or even stand up.

One of the more popular speaker choices is the AcousticDesign series from QSC. These speakers provide crystal clear audio and come in a variety of styles, from surface mount to pendant mount and recess ceiling mount. These speakers come in a variety of sizes, and also both black and white, meaning they can blend in (or stand out) in any room.

When it comes to the camera, QSC offers a variety of options for PTZ Network Cameras. PTZ stands for Pan, Tilt, and Zoom, meaning these cameras can be set up to cover an entire room or focus on an individual speaker. And these cameras can be used with a variety of video conferencing platforms, including Microsoft Teams and Zoom.

Tying everything together is a Q-SYS Ecosystem TS-C80 Touch Screen controller. Control your entire room from one central screen. You can mute and unmute your mic, turn the speakers up or down, turn the projector on and off, and so much more. All with the swipe of a finger.
